Client Creation

  • Overview
    • Gather client details, including name, contact information, URL, and project requirements.
    • Create a client profile in the Overview platform.
  • ZealInvoice
    • Collect client information required for ZI.

Document Management

  • Drive Folder Creation
    • Create a folder on the designated drive.
    • Include all basic information, agreements, and other essential documents/assets.
  • Option 1: Agency Folder
    • If it’s an agency, we will maintain with one drive, and in it, we will manage all the project’s folder.
    • Do Not Include
    • Large Files
    • The structure should be like
    • Agency > Client > Project
  • Option 2: End Client Folder
    • If it’s an end client then 1 dedicated folder in the drive is enough.

Tools Configuration

  • Project Management System (PMS)
    • Choose either Client One or our one ( ClickUp) based on requirements.
    • Configure PMS according to project needs, including task lists, milestones, and permissions. (Make sure you follow the standard master template of ZealousWeb)

    • Select appropriate communication channels such as Skype, Slack, etc.

  • Identify the nature of the client (Pixel Perfect, Cost-oriented, Deadline Oriented, Communication Efficiency).
  • Discuss opportunity (Trial Period, Phase 2, Sell Other Services).
  • Ensure sales call recording or MOM is shared.
  • Define mission/goal and potentiality (One-off Job/ Ongoing / Huge opportunity).
  • Establish working model (Hourly / Dedicated, Fixed Quote).
  • Set payment terms and modes.
  • Determine type of solution (White Label, End Client).

  • Prepare agenda covering all essential points including project summary, requirements, access, planning, communication plan, escalation process, QA plan, and immediate action items.

Client Creation

  • Gather and enter client details into the Overview platform.
  • Collect and add client information into ZealInvoice.
  • Ensure client information matches across platforms (Overview and ZealInvoice).

Document Management

  • Create a folder on the designated drive.
  • Include all basic information, agreements, and essential documents/assets.
  • For agencies, follow the structure: Agency > Client > Project.
  • For end clients, create a dedicated folder.
  • Provide access to concerned people via email.

Tools Configuration

  • Choose and configure the appropriate PMS (Client One or ClickUp).
  • Ensure PMS is set up with task lists, milestones, and permissions according to the standard master template of ZealousWeb.
  • Schedule usage guideline call.
  • Select and configure communication channels (Skype, Slack, etc.).
  • Add all team members to the selected communication channels.
